Do any of you guys or gals use an outside company for payroll, bill paying, accounting, bookkeeping, tax preparation, etc? I have always had my secretary do it all except for the tax returns but for various reasons, I am thinking of farming it all out. Anyone have experience?
I have a business account through Bank of America, and it has a payroll service that is basically built-in and integrated into my bank account and the web pages. It's not much, a few bucks a months. It calculates all your taxes, state/federal, does the withholding on the paychecks, does direct deposits if you also have a personal BoA account, and reminds me when it's time to write a check to the USA. I really like.
I use one and don't see how I'd manage without one.
The small company (5 employees +/-) I worked at from 2004-2011 used Paychex. It was trouble free at very modest cost. My wife's Subway store uses Wells Fargo. They have have performed less well but there is a lot more turnover with that operation than a survey business. For the price it seems silly not to use a payroll service.
We have a CPA do our payroll. I tell her the hours and she tells me my total needed. I transfer it from general to payroll. Net pays come out and Uncle Sam's stays there until the CPA sends the quarterlies. I do my own bill paying online. We just switched banks so I've been writing the whopping 3 paychecks a week by hand.
I would let the professionals handle it if I were you. Unless your secretary is an accountant, you're putting yourself and your employees at risk. We worked a long time without an accountant and it's a whole lot more stressful. I don't worry about the new rates or which one was paid or how much it went up anymore. If it's wrong, see my accountant.
I just switched from Paychex to http://www.beyondpayroll.com/ this year.
I am a 1 man solo shop, and they simply process payroll taxes for me every month (they pay federal and state for me from my bank account) at about a $58 fee per month.
Whenever I get a nasty confusing or scary notice from IDOR I just send it along to them and they handle it.
Good luck.

I hate to appear so dumb about this after owning a company for 15 years but....
We are around 13 employees and have always had a secretary pay all the bills, do payroll, etc and an accountant to do our taxes at the end of the year. I am thinking of farming all that out and am wondering about the nuts and bolts of it. There are too many bills and too many people with their hand out for me to do it myself. I am still working and if I fill my head with day to day bill paying, accounting, etc.. I will go even crazier. Are any of you my size or larger who have an outside firm pay the bills, make payroll, pay taxes, file quartlies, look over expense reports, check company credit cards for suspicious charges, etc? I got embezzled about 10 years ago and have had a family member do all of the above but I don't think we can grow or prosper with the current arrangement. I'm looking for a better way forward.
Thanks
We use the payroll service offered through our accounting software. Easy to learn and fees are very reasonable. There were a few steps involved to get it setup but smooth sailing afterwards. All taxes, social security, etc. are calculated and then taken from the paycheck and placed in the needed account to pay out to state and federal. Even the fees charge for that payroll are calculated and deducted for the main account register. It is also nice to have reports available to see how we need to budget the business or if we might can afford to bring on another person if needed.

I have used this software flawlessly from DOS to Win8.1. Payroll is simple as are their AR/AP/GL programs and the yearly update for everything is under $100.
Y'all Solo surveyors should take a peek too!
B-)
I will be peeking this week. Thanks!

Any monthly savings will be shared here via an increase to my automatic monthly contribution to the tip jar.
I am probably not going with an outside payroll service. After looking at it and discussing it several times with my banker and others I think the best way forward for us is to upgrade my office manager/secretary and look for a new firm to do my taxes. Thanks, for your responses.
