There has been some discussion about record keeping rules/laws for surveyors.

An interesting little factoid, when I'm picking up the mail, there is a package from the clerk's office.

In the package is the original description as a warranty deed and the original drawing for a recent survey.

A little dymo sticker across the top with the recording info.

So in our office now is the original hard copy of the deed and drawing.

Am I supposed to keep this as a record or scan it for some reason and shred it??ÿ

I'm thinking the latter, or just shred it since the document is scanned at the court house now.?ÿ

I keep thinking about going to Wal Mart watching someone give them a check and the cashier handing it back to them. The first time I saw that transpire the look on the woman's face getting the check back was priceless, it must have been that woman's first time too.?ÿ

I guess we live in the cloud now, need to get used to it.?ÿ

Good question.?ÿ Around here deeds are recorded and the originals sent to the grantee (or as instructed on the document).?ÿ Surveys are filed with the original remaining with the County.?ÿ As for business documents, about 8 years ago I began scanning and shredding.

I have been scanning my field notes for 20+ years and I'm trying to figure if I can get rid of the boxes in the attic if the squirrels have not already done so.

The originals mailed back to me after filing by the County Clerk get mailed to the client.?ÿ Sometimes (if I know their mailing address) I just put their address on the form when I record it and it cuts me out of the middle.

Send it to the client, that's what I'm going to do later today, scan it and get it out of my office. The last person I want to be is someone who is a clearinghouse for original documents. When someone comes in looking for that type of info I send them to the City/County/State, my go-to comment is that the original signed documents are housed there and they want a copy of that.?ÿ
